This notice explains what personal information we collect, why we use it, and the rights you have over it. We've kept it in plain English on purpose.

1. Who we are

Foot in the Door Farnham is a recruitment service for first-time job seekers in Farnham and the surrounding area. We are the "data controller" for the information described here — that means we decide how and why it's used.

2. The information we collect

If you're looking for work

Your name, email address and phone number
Your postcode or area, so we can find local roles
Your date of birth (to confirm your age and the right support)
The kind of work you're interested in and your availability
Anything you choose to tell us about yourself, and your CV if you send one
If you're 16 or 17: your parent or guardian's name and email

If you're an employer

Your business name and the type of business
Your name, email address and phone number
Details of the role(s) you're hiring for

We only ask for what we need. We don't ask for sensitive details such as your health, ethnicity, religion or background, and we'd ask you not to send them to us.

3. Why we use it, and our legal basis

If you're looking for work, we use your information to get to know you, match you with suitable local roles, put you forward to employers, and keep you updated. Our legal basis is your consent (which you give when you sign up) together with our legitimate interest in running a recruitment service. You can withdraw your consent at any time (see section 9).

If you're an employer, we use your information to respond to your enquiry and provide our recruitment service. Our legal basis is our legitimate interest in running our business and, once we're working together, performing our agreement with you.

If you tick the optional box, we'll also send you occasional tips and updates by email, based on your consent. You can opt out whenever you like.

4. If you're under 18

We work with 16 and 17 year-olds, but only with a parent or guardian's consent. When you sign up, we ask for a parent or guardian's name and email and confirm they're happy for us to help you. We don't knowingly collect information from anyone under 16. We take extra care with young people's information and keep everything age-appropriate and safe.

5. Who we share it with

The main reason we exist is to connect you with employers, so:

Prospective employers — if you're a job seeker, we share relevant details with employers to put you forward for roles. We'll let you know who, where we can, and we only share what's needed.
Trusted service providers — companies that help us run the business, such as our secure data storage and email, under a contract that keeps your data protected.
If the law requires it — for example, to comply with a legal obligation.

We never sell your information, and we never share it for someone else's marketing.

6. Where we keep it

Your information is stored securely on systems based in the UK. Some of the tools we use may process limited data (such as your IP address) outside the UK; where that happens, we make sure appropriate safeguards are in place as required by data protection law.

7. How long we keep it

Job seekers: while we're helping you, and for up to 12 months after we last hear from you — then we securely delete it, unless you've asked us to keep in touch for longer or to delete it sooner.
Employers: for as long as we're working together, plus up to 6 years afterwards where we need to for our business and tax records.

8. Keeping it safe

We use appropriate technical and organisational measures to protect your information, limit who can access it, and keep it secure. No system is ever completely risk-free, but we take this seriously.

9. Your rights

Under data protection law you have the right to:

Ask for a copy of the information we hold about you
Ask us to correct anything that's wrong
Ask us to delete your information
Ask us to limit or stop using it
Object to us using it, or ask for it in a portable format
Withdraw your consent at any time

We'd love the chance to put things right first, so please come to us. But you also have the right to complain to the ICO, the UK's data protection regulator:

11. Cookies

This website doesn't use tracking or advertising cookies. We load our fonts from Google, which may log your IP address as part of delivering them. If we ever add analytics or other cookies, we'll update this notice and ask for your consent where needed.

12. Changes to this notice

We may update this notice from time to time. When we do, we'll change the "last updated" date at the top. Please check back now and then.
